Challenge
For decades the Alumni Association at a large West Coast university has
invited each alumni to submit a 'Book Page' for a class reunion yearbook.
Each alumni 'Book Page' includes a photograph and a written update about
themselves and their families. The pages are created and submitted through
a web tool, then aggregated into a yearbook for distribution to each reunion
class.
The incumbent web tool had become the standard for many years. However,
the alumni had become increasingly internet savvy and were finding the tool
slow and cumbersome. Alumni were required to finish their 'Book Page' in
one sitting and take care to avoid being timed out, or risk losing their data.
In addition, there was only one layout template to use and it didn't allow for
multiple photographs. Some alumni were frustrated to the point that they
would print out the template, handwrite their page, and mail it in.
Yearly page submissions were flat. The Alumni Association resources were
constantly redirected answering alumni phone calls on submission tool usage
and troubleshooting page submission errors. The Association approached
Levelthree looking for a way to increase page submissions, make the
submission tool more flexible, and maintain communication with their alumni
throughout the process.
Solution
Levelthree researched the needs of the alumni and developed a web based
'Book Page' submission tool with the alumni's user experience driving every
phase of development. Alumni now have four dynamic templates from which
to choose. They can save their work in progress and once finished, proof
their page in a PDF format. In addition, due to the overall improved user
friendliness of the site and faster upload times, the use time upon which
alumni start and submit their page has decreased dramatically.
To date, the West Coast University has seen a significant increase in page
submissions across all of their alumni classes. As a result of Levelthree's
'Book Page' submission tool, Alumni Association resources are not tied
down troubleshooting issues; this allows them to focus on campaigns to
further increase page submissions and promote the Alumni Association.
